e-office, the electronic office system we built ourselves

Installed on your organization's own server, with Thai and English support, designed with PDPA in mind, and only the modules you need switched on by your License.

Every edition runs on the same code. They differ only in the module set and default settings, controlled by a single License file.

  • Installed on your organization's server
  • Thai/English on every screen

Core, in every edition

What every organization gets, whichever modules are on

Custom organization structure

  • Name your own organizational levels, such as Bureau › Division › Section or Faculty › Department.
  • Units nest to any depth, with heads and display order.
  • Membership in several units, deputy heads, and acting roles for date ranges.
  • Org chart with history, past structures to look back on, and unit merges with staff transfer.
  • Supports branches, legal entities, and cost centers.

Multi-step approval chains + "Waiting for my approval"

  • Set steps for each request type: leave, procurement, room/vehicle booking, file submissions, asset disposal, Helpdesk, expense claims, contracts.
  • Choose from 7 kinds of approver, such as the direct supervisor, a manager n levels up, someone with a role, or a named user.
  • Separate chains by department and amount, for example procurement over 100,000 THB must go through executives.
  • The "Waiting for my approval" page gathers items from every module in one place.

My portal (Employee Portal)

  • One page for every employee: my info, my tasks, documents addressed to me, and my requests.
  • Today's clock-in, remaining leave, borrowed assets, assigned tasks, meeting invitations, and documents awaiting signature.
  • Shows only the modules your organization has switched on.
  • Works on the web, responsive to screen size (no separate mobile app yet).

Executive reports

  • Indicators from every system on one page, filtered by fiscal year and department.
  • Trends compared with the same period last year.
  • Download the summary as a PDF and schedule weekly/monthly email delivery.

Thai-language PDFs with letterhead and seal

In-app, email, and LINE notifications

  • In-app, email, and LINE notifications through the channels each user chooses.
  • Quiet hours and a daily notification digest.
  • Thai/English on every screen; Thai displays Buddhist Era years automatically.

Module details

17 modules, switched on by License

Each module works independently but shares the same users, departments, permissions, and approval chains.

Electronic correspondence (e-Saraban)

Gov · School · Enterprise

  • Automatic incoming/outgoing register numbers, with no duplicates even when saved at the same time.
  • Templates for official letters, memos, announcements, and company documents (Thai/English).
  • Submit files for review, annotate/instruct, send back for correction, forward, and track recipients.
  • Circulars with a report of who hasn't acknowledged them, and confidential letters by classification level.
  • Letter exchange between agencies using this system, search inside attachments (including OCR), and retention and destruction plans by age.

Good to know: Classified letters cannot be sent through the inter-agency exchange channel. Exchange under the DGA standard has no ready-made adapter yet.

HR / e-Leave / time attendance / appraisal

Gov · School · Enterprise

  • Personnel records, with sensitive fields encrypted (PDPA).
  • Online leave through approval chains, with leave quotas recorded per year.
  • Web clock-in with office IP restriction or mandatory location, work shifts, duty rosters, and overtime (OT) requests.
  • Performance appraisal: KPIs, multiple raters, calibration, result notification, and appeals. Scoring policies are versioned.
  • Payroll export with OT hours and period locking.

Good to know: Not a full payroll engine: it exports data to your existing payroll system. Appraisals have no digital signature on the PDF yet. HR should confirm the criteria before real use.

Assets and supplies

Gov · School · Enterprise

  • Asset register with automatic codes and yearly/monthly depreciation.
  • Borrow and return, send for repair, and disposal through approval chains/committees.
  • Annual stocktake by scanning QR codes on a phone, and transfers between departments/branches.
  • Supplies store with receipts and issues, balances, warranty data, and preventive maintenance plans.

Budget and procurement

Gov · Enterprise

  • Fiscal years, allocations, plans/projects, cost centers, and quarterly reports.
  • Purchase request (PR) locks budget on approval → purchase order (PO) → partial receiving → payment.
  • Compare quotations; vendors submit prices through the vendor portal.
  • 3-way match (PO / goods receipt / invoice), with duplicate vendor invoice prevention.
  • PDF forms for PR/PO with the amount in Thai words, and journal export as an Excel file.

Good to know: Accounting integration is by Excel export; there is no direct API into accounting software, and it is not a general ledger package.

Meeting room / vehicle booking

Gov · School · Enterprise

  • Meeting rooms, vehicles, and drivers.
  • Prevents double-booking even when people book at the same moment (database-level locking).
  • Recurring bookings (daily, working days, weekly, monthly), with approval chains per resource.
  • Calendar, ICS export, reminders before the start time, and utilization reports.

Helpdesk / IT repair requests

Document library

Gov · School · Enterprise

  • Keeps multiple file versions with SHA-256 checksums.

Gov · School · Enterprise

  • Assign tasks, set due dates, and track progress.

Digital signatures

Add to any edition

  • Sign PDF documents with a digital certificate (PKCS#12) in PAdES format, from level B-B up to B-LTA.
  • Multiple signers in sequence, a SHA-256 document register, and a document verification page.
  • Linked to correspondence and contracts: once sent for signing, it takes effect automatically.

Good to know: Legal effect depends on the certificate your organization uses, and signers from outside the organization are not yet supported.

Expense and travel claims

Add to any edition (Enterprise)

  • Claims against receipts, advances, and travel requests, with receipts required by category.
  • Approval by amount, with requester, approver, and payer kept separate.
  • Clear advances and calculate the refund or extra payment; export data to accounting as an Excel file.

Contracts

Add to any edition (Enterprise)

  • Register of contracts and counterparties, linked to the central vendor register.

Add to any edition

  • Connects to the LINE Messaging API; users link their LINE account to their account in the system.
  • Automatic replies by keyword, and Rich menu.

Single Sign-On (SSO)

Add to any edition

  • Sign in with LDAP / Active Directory or OpenID Connect (including ThaID and presets for Microsoft Entra ID).
  • Automatic user creation, mapping of groups to roles/departments, and a connection-test tool.

Security and standards

Security built into the system, and common standards on every screen

Every data screen is built on the same foundation and checked by an automated test suite before each release.

Sign-in

  • 2FA (TOTP) required for administrators.
  • Password policy of at least 10 characters, with configurable password expiry.
  • Limits on sign-in attempts, and failed sign-ins are logged.

  • Append-only audit log, protected from edits and deletes by database-level triggers.
  • Access to sensitive data is logged (PDPA).
  • Export the audit log as CSV/Excel/PDF.

Data protection

  • Sensitive fields are encrypted in the database, and real values are not stored in the audit log.
  • HTTPS + HSTS, Content-Security-Policy, and security headers.
  • Data outside a user's department returns 404, without revealing that it exists.

Backup, updates, and License

  • AES-256 encrypted backups with checksums, to the machine, SFTP, or NAS.
  • Update packages signed with Ed25519, a backup before each update, and rollback within 7 days.
  • Machine-bound License, offline activation possible, no kill switch.
Data tables
Pagination, search, sorting, filters, show/hide columns, and remembered user settings.
Export/import
Export to Excel, CSV, and PDF following your filters; import Excel/CSV with validation before saving.
Permissions and history
Per-action permissions limited by department, every change recorded in the audit log, plus a recycle bin and restore.
Language and display
Thai/English, Buddhist or Gregorian years, responsive to screen size, dark mode, and basic keyboard support.
Integration

The system is a tool to help you comply with PDPA. Full legal compliance also depends on your organization's policies and processes.

Frequently asked questions

Questions people often ask before deciding

How is on-premise different from a cloud system?

It is installed on your own server, one system per organization. All data stays in the database and disks your organization controls, never mixed with other customers, and there is no monthly per-user rental. Your organization looks after the server (or has our team do it under a maintenance contract).

Does it need to be online all the time?

No. Users can reach the system over your internal network, and the License can be activated offline for closed networks. Features that rely on outside services, such as email, LINE, or ThaID, need a connection to that service.

Who owns the data?

Your organization. The data sits on your servers and every screen can be exported to Excel/CSV/PDF. Even if there is a problem with the License, the system only goes read-only: there is no kill switch and no data is deleted.

How does the system help with PDPA?

Sensitive data is encrypted in the database, every access is logged, permissions are set per action, and the audit log cannot be edited. The system is a tool to help you comply with PDPA; full legal compliance also depends on your organization's policies and processes.

Can it be used on mobile?

It works in a web browser on computers, tablets, and phones. Tasks such as scanning QR codes for asset counts, clocking in, and approving requests can be done in the browser. There is currently no separate mobile app.

Can I add modules later?

Yes. Every module is part of the same software. When you buy more modules, we issue a new License file; there is no reinstall and your existing data is unaffected.

Are there any further costs after buying outright?

An outright License keeps working. The optional costs are the annual maintenance contract (MA) for new versions and support, as well as installation, data migration, training, and integration services.

Can I try it before buying?

The system comes with demo data sets for government agencies, schools, and private companies. Request a trial or schedule a demo using the Demo request form.

Send us your requirements (TOR) and we will tell you which items are already supported

Our team will reply with which items the system fully supports, which partly, and which need further development. The actual scope of delivery follows the quotation, contract, and License.
