1. What the service is
Office.in.th Helpdesk is an online system for receiving repair requests and problem reports, provided free of charge to agencies, schools and organizations (each an "Organization"). An Organization creates its own space, gives reporters a link or QR code, and has its own team handle the reported issues. This service is separate from the e-office system, which is sold and installed within organizations.
2. Free usage allowance
- Agents (administrators and agents/technicians combined): no more than 5 per Organization
- New tickets: no more than 300 per month
- Image attachments (JPG, PNG, WebP): no more than 3 images per ticket, with total image storage of no more than 50 MB per Organization
- One user account may create no more than 3 Organizations
- Each Organization is one free Office.in.th Workspace space, in which several free apps can be enabled. Across all apps combined, there may be no more than 50 members who can sign in and no more than 100 MB of total storage (Helpdesk image storage counts towards this).
Office.in.th may adjust the usage allowance for certain Organizations as a special case, and may suspend Organizations that use the service for improper purposes, such as sending spam, publishing unlawful content or attempting to access the data of other Organizations.
3. Roles under the Personal Data Protection Act B.E. 2562 (2019) (PDPA)
The Organization is the data controller of the data that reporters and its team enter in the Organization's space (such as names, email addresses, phone numbers, problem details and images). Office.in.th is the data processor, which processes the data only in accordance with the Organization's use of the service, in order to provide the repair-request system, send notification emails and keep the system secure.
- Each Organization's data is kept separate and can be seen only by that Organization's members, according to their roles.
- The Office.in.th team sees only usage summaries (such as the number of tickets per month, the number of members and the storage used) and does not open or read the content of reported tickets unless the Organization asks for assistance or the law requires it, and every such access is logged.
- We do not sell ticket data, do not use it for advertising and do not pass it on to outside parties, except for necessary service providers such as an email delivery provider.
- The usage counters on the home page and in the 3D office count only the number of occurrences, anonymously, without Organization names or ticket content.
- Reporters who wish to access, correct or delete their own data should contact the Organization that received their report.
4. Data retention periods
- Images are resized on the reporter's device before upload and reprocessed by the system to remove embedded metadata (such as GPS coordinates in the image). Images are deleted automatically 90 days after the ticket is closed or cancelled.
- Messages and activity history are kept for as long as the Organization uses the service, so that past records can be viewed and reports produced.
- Inactive Organizations: The system emails a warning to administrators after 11 months without activity and archives the Organization once 12 months have passed (the reporting page is hidden and data becomes read-only). Administrators can reactivate it. Archived Organizations are deleted only in accordance with a policy announced in advance.
5. Data export and deletion
The Organization's administrators can export the full list of tickets as a CSV file at any time and can delete the Organization themselves from the "Usage" menu. Deletion permanently removes the Organization's tickets, history, images and member list (data in backups expires according to the backup cycle). Each person's Office.in.th user account is not deleted.
6. Liability
This free service is provided "as is". We do our utmost to keep the system available but do not guarantee that it will be free of interruptions. For Organizations that need an in-house system, a service level agreement or no usage limits, we recommend e-office installed within the organization.
